Speaking Volumes

Speaking Volumes places good books in communities across the UK through grants. We look after its grant communications and the HubSpot email workflows that keep every recipient informed.

The challenge

Every grant only matters if it gets used.

Grant recipients are librarians, teachers and community groups with busy days. Messages need to be clear, warm and well timed, or vouchers sit unredeemed and books never reach the shelves. With a small team, the charity also needed this to run reliably without constant manual sending.

Our approach

Personal at scale, inside HubSpot.

We write and build the grant journeys in HubSpot, using personalisation tokens so each recipient sees their own name, organisation and grant details. Follow-ups and reminders go out automatically, and when deadlines move we let unredeemed grant holders know quickly and clearly. We also designed a branded email signature for the team to use in Outlook and HubSpot.
