HubSpot for small businesses: where to start

A plain guide to the free HubSpot tools, the five things worth setting up first and what can safely wait.

What a CRM actually is

A CRM, or customer relationship management system, is one shared place for everyone who has ever been in touch with your business. Each person gets a record with their details, every email and call, what they asked about and what happens next.

If you currently keep enquiries in a mix of WhatsApp chats, an inbox and a notebook by the till, a CRM gathers them together. Nobody gets forgotten, and anyone on the team can pick up a conversation where it was left.

What the free tools cover

HubSpot's free tier is generous for a small business. You get contact records, a sales pipeline, website forms, live chat, task reminders, a meeting booking link and a limited number of marketing emails each month. Free emails carry HubSpot branding, which most customers will not notice or mind.

For a salon, a removals firm or a small estate agency, that is usually enough for the first year.

The first five things to set up

Keep the first week simple. These five steps give you a working system without weeks of setup.

  • Import your contacts from a spreadsheet, with name, email, phone, language and where they came from.
  • Build one simple pipeline with four or five stages, such as New enquiry, Quote sent, Follow up, Won and Lost.
  • Add a HubSpot form to your website contact page so every enquiry lands in the CRM automatically.
  • Write one welcome email that goes out when someone fills in the form, in English and Spanish if you serve both.
  • Set a weekly recurring task to review open deals and follow up with anyone who has gone quiet.

What to leave for later

Skip lead scoring, complex automation, dozens of custom properties and detailed dashboards for now. They only help once you have steady data coming in and a routine for using it.

The most common mistake I see is spending a month building a perfect setup that nobody opens. A basic CRM used every day beats a clever one used once a quarter.

When paid plans are worth it

Consider a paid Starter plan when you want to remove HubSpot branding from emails, send more emails each month, run simple automated sequences or give several team members their own access. Pricing is per seat, so check the current rates and start with only the seats you need.

Move up again only when a specific task is costing you real time each week. If you cannot name that task, stay where you are.
